Reserve Policy

Closed Reserve and Course Content

The Library offers services to support student access to course required and suggested readings. The Library prioritizes owning material being used in courses to provide students with affordable, equitable access to these materials.

Closed Reserves

Faculty have the option to place items on closed reserve for learners. Closed reserves are available at the library services desk and must be used within the library. There is a two hour restriction on the use of these materials during staffed hours. Upstate ID holders may check reserve materials out overnight; check out must occur in the hour before library closing and returned the next day at opening (see Library hours). Materials may also be used in the library during after hours. 

Policies and Instructions for Faculty

In order to meet the information needs of your students, instructors must email libserve@upstate.edu for books, journals and audiovisual materials.

Procedures and Deadlines

Please fill out the necessary forms and return them to the Library at least two weeks prior to the beginning of the course (or before use is anticipated for a particular item) so that materials which are in circulation can be retrieved and processed for reserve use. Requests for materials not presently owned should be submitted at least eight weeks in advance in order to allow for purchase order considerations.

Reserve requests are processed in the order in which they are received. Lists received after the deadline will be processed as soon as possible.

In addition, we are attempting to place all the required textbooks on reserve. We would appreciate if you could inform us of the materials by filling out the form marking it "Required Texts".

Personally owned material will be accepted, but should be submitted with appropriate information one week before it is assigned for class use.

Journals will not be placed on reserve.

Learning Management System Course Content

Faculty looking for excerpts of material for use in a learning Management System (Blackboard) can requests these items from the Library. Requests submitted here will be evaluated by our Librarians and go through an extensive search process to find the most accessible version of the work that the library can access. If the only version we can procure is a scan from print, our Librarians will attempt to also find alternative, comparable content that is in a more accessible format for Faculty to consider as a substitute.

Policies and Instructions

Faculty or Faculty Assistants can submit these requests via the Course Content Request Form.

Requests submitted here will be evaluated by our Librarians for the following:

  • Be from published works
  • Pass a fair use assessment by the Librarians at the Health Sciences Library
  • Ideally be owned by the library. If the books and journals that excerpts are requested from are not owned by the library, the library will initiate purchasing a copy.
  • Be written content

The goal of this service is to provide Faculty and Students with the most accessible version distributed by the publisher.

Procedure and Deadlines

Requests submitted will go through an extensive search process to find the most accessible version of the work that the library can access. If the only version we can procure is a scan from print, our Librarians will attempt to also find alternative, comparable content that is in a more accessible format for Faculty to consider as a substitute.

Any scans from print that are provided to Faculty will have the text of the scan recognized via OCR (optical character recognition), but otherwise will not be remediated for accessibility. A remediated copy of the scan will be made and kept by the library so we are able to produce it immediately upon request from a user with a documented need.
